Commercial Scope & Settlement Modes

Pure Foods Ingredients strives for absolute commercial transparency and long-term buyer trust across 30+ export destinations. In international B2B agro-commodity trade, financial adjustments may arise from verifiable cargo shortages, mutually agreed specification compromises, or authorized order cancellations.

All commercial refunds are processed in compliance with Reserve Bank of India (RBI) Foreign Exchange Management Act (FEMA) guidelines and international banking norms via official SWIFT Telegraphic Transfer (TT) wire transfers or commercial Credit Notes applied against subsequent contract orders.

Short-Shipment Weight Discrepancies & Pro-Rata Credits

Every export container is weighed on certified weighbridges at the dehydration factory and verified again at the port terminal (Verified Gross Mass - VGM):

  • If upon destination destuffing, an official certified weighbridge slip or independent surveyor weight certificate (e.g., SGS / Geo-Chem) verifies that the net delivered weight is less than the commercial invoice weight by more than the industry-standard moisture evaporation allowance (0.5%), a pro-rata financial credit is issued immediately.
  • The credit is calculated strictly on the contracted price per metric ton (MT) for the verified missing quantity.
  • Shortage claims must be lodged in writing with supporting weight certificates within 7 calendar days of container destuffing.
3

Quality Defect Financial Compensation

Where goods are verified through joint independent laboratory testing to breach contractual parameters (e.g., moisture, granulometry, or microbiological thresholds) as outlined in our Return Policy:

  • Salvage / Price Adjustment Settlement: If the Buyer is willing to accept the consignment for secondary processing or blending at a discount, Pure Foods will negotiate a commercial settlement credit (typically 5% to 25% of CIF value) to compensate for processing adjustments.
  • Full Invoice Value Refund: Where the cargo is fundamentally unsuited for human food consumption and re-import or supervised local destruction is completed, a 100% commercial refund of the invoice value for the defective quantity is remitted within 5 to 7 business days from receipt of destruction or re-export documentation.
4

Order Cancellation Prior to Loading (Pre-Stuffing)

Buyers seeking to cancel a confirmed Proforma Invoice before container loading must submit formal written notice to the Trade Desk:

  • Standard Inventory Orders (Before Packing): Cancellation requests received before custom packaging has commenced are subject to a nominal administrative and raw bulb price variance fee of 5% of contract value. The balance advance deposit is wired back within 5 business days.
  • Customized Mesh / Contract Dehydration Runs: Where raw onions/garlic have already undergone dedicated dehydration, customized granulometry milling, or buyer-branded printed packaging, the Buyer remains liable for actual direct costs incurred (unprinted bags, raw material price variance, labor). Any uncommitted surplus advance is refunded promptly.
  • Post-Stuffing / Shipped Orders: Once the container has entered the port terminal (Gate-in) or the vessel has sailed, orders cannot be unilaterally cancelled.
5

Settlement Options: Commercial Credit Note vs. Direct Bank Wire

Approved refunds can be structured according to the Buyer's accounting preferences:

  • Commercial Credit Note: Applied as an immediate financial credit towards the Buyer's next container contract or upcoming shipment deposit. This option avoids cross-border banking remittance fees and intermediary deduction costs.
  • Direct Bank Wire (SWIFT TT): Cash refund wired directly back to the originating buyer bank account from which payment was received.
6

International Wire Transfer Timelines (SWIFT TT)

Once an authorized settlement agreement or RMA claim is signed by both parties:

  • Pure Foods Treasury initiates outward foreign exchange remittance through our Authorized Dealer (AD) Category-1 bank in India within 3 to 5 Indian banking days.
  • The Buyer's bank will typically credit funds within 2 to 4 international clearing days, depending on international correspondent routing (e.g., JPMorgan Chase, Citibank, or Deutsche Bank intermediary paths).
  • A scanned copy of the official bank SWIFT MT103 wire confirmation receipt is provided immediately upon transfer completion.
7

Currencies & Correspondent Intermediary Fees

To prevent foreign exchange losses for our institutional procurement partners:

  • Refunds are executed strictly in the exact contract invoice billing currency (e.g., USD, EUR, GBP, AED, or INR).
  • Pure Foods covers all outward remittance charges levied by our originating Indian bank.
  • Intermediary correspondent bank charges and destination beneficiary bank inward credit fees follow standard international SWIFT MT103 "SHA" (Shared) conventions.
8

Maritime Cargo Insurance Settlements (CIF Contracts)

For losses or physical damage occurring on the high seas under CIF contracts (e.g., vessel stranding, rough weather container crushing, or seawater flooding):

  • Compensation is disbursed through the international marine underwriter named in the Certificate of Marine Cargo Insurance.
  • Our Logistics Desk assists the Buyer directly in compiling documentation (commercial invoice, packing list, master bill of lading, surveyor casualty report) and lodging the claim with the insurance company's destination claim-settling agent.
  • Insurance claims are underwritten for 110% of CIF invoice value to ensure complete financial recovery including destination freight and harbor clearance outlays.
9

Reserve Bank of India (RBI) Regulatory Protocols

As an APEDA registered merchant exporter operating under Indian banking laws, outward foreign exchange remittances are governed by the Reserve Bank of India (RBI) Master Directions on Export of Goods and Services:

  • Refunds exceeding specified thresholds require submission of the original Export Shipping Bill (EDPMS closure entry) and Bank Realisation Certificate (e-BRC).
  • Our Treasury Desk ensures full regulatory compliance so that overseas buyer refunds are cleared by Indian foreign exchange authorities without administrative delay.
